COMPARISON GUIDE

Tank Track is built for septic and grease trap operators, not adapted to them

Jobber, Housecall Pro, and ServiceTitan are solid field service platforms. But if you’re a septic or grease trap operator, “solid” isn’t the same as “built specifically for your business.”

We will walk through how Tank Track stacks up against the other options that septic and grease trap operators consider using.

THE SHORT VERSION

What software should I use for my septic services / grease trap services business?

Choose Tank Track if …

you run a septic services or grease trap services business. This includes installations, pumping, maintenance, repair, and inspections. Right fit if you want industry specific waste manifests, checklists, and dispatching handled in one system built around your workflow.

Choose a generalist if …

you run mixed trades (HVAC, plumbing, electrical) and septic or grease traps are a small part of your work. Jobber and Housecall Pro tend to serve the broad trades well.

Choose enterprise if …

you have a large, multi-location operation with a dedicated ops team and budget for a heavyweight platform like ServiceTitan, where you will spend thousands, if not tens of thousands,  every month.

What Should you Pick?

What is best for your septic and/or grease trap service business?

1 Tank Track

Purpose-built for septic services and grease trap operators. Scheduling built for the industry, automated service due notices, custom job checklists, and seamless waste manifest creation – without paying for features meant for other trades. No contracts, no onboarding fees, month to month – we earn your business every month.

2 ServiceCore

Primarily built for portable toilet rentals, they recently acquired another business that offers software for roll-off dumpsters. Worth a look if unit rental inventory is fundamental to your business, and you’re willing to pay 2-3 times as much as Tank Track, prepay for 3 months of service, pay a separate onboarding fee, and sign an annual contract.

3 ServiceTitan

An enterprise-grade platform for large home-service companies. Deep reporting and dispatch, but no waste manifests, and pricing and onboarding are sized for big operations. If you’re willing to spend thousands of dollars and allocate hundreds of hours to implementation, this could work for you.

4 Jobber

A well-liked generalist for small service businesses of every trade. Easy to learn with good marketing tools, but lacks septic specific features like waste and dump-site tracking, manifest creation, batch billing for recurring jobs, and per-driver route optimization – and job forms only export as a CSV, not individual PDFs.  Price can easily exceed Tank Track’s once you get into add-on features.

5 Housecall Pro

Very similar to Jobber: friendly, broad, and affordable for general home services. Tends to be slightly more expensive than Jobber, and tailored to more project-based businesses. Price is typically higher than Tank Track’s, and add-ons push this even higher.

Why our Customers changed to Tank Track

❤️ Luanne Howland, Apple Valley Pumping Service

Luanne had used a legacy septic system, Ritam, since 1991 (40,000+ customer records across a family septic and portable-toilet operation) and was actively evaluating alternatives after Ritam’s cloud version failed within five hours of rollout and required 50+ clicks per order – office staff rejected it outright. She also demoed ServiceCore (“solid but horrendously expensive” at $1,500/month for her fleet) before landing on Tank Track. Discovered Tank Track via the Pumper Nation group, and chose Tank Track due to septic specific features and customer service.

❤️ Heidi Seekins, Moore’s Septic

Heidi previously used The Service Program, but was looking for something with better service – price, in her words, was never a huge factor. Her old software had a lot of glitches that could take hours to resolve, and getting help meant submitting a ticket into a queue and never reaching a live person, all while her phone was ringing off the hook. “It was very, very stressful,” she said. That’s what led her to switch to Tank Track: “And we do love it.”

❤️ Matt Gosser, Septic Maintenance LLC

Matt ran everything on paper before Tank Track, dispatching was a fill-in-the-blank Excel file, and on a busy day that meant 30 to 50 handwritten work orders that someone had to print, schedule, and route by literally stacking paper on top of each other and handing it out each morning. With a second acquisition on the horizon, he knew it wouldn’t scale: “There’s no way we’re going to be able to do this if we’re still doing this on paper.” That’s what led them to switch to Tank Track. The Tank Track team helped with the transition, and the payoff was real, Septic Maintenance grew from three pumper trucks to ten in three years. “There’s not a chance we would have been able to do that without some sort of system like Tank Track,” Matt said, estimating it now saves them at least 10 hours a week and spared them from hiring another bookkeeper.

Features to Help you Grow

Automatic waste manifests
Every load needs a paper trail. Tank Track builds the manifest from the job itself  volume, source, disposal site – so it’s done before the truck leaves. No other platform in this comparison does this. On everything else, your drivers fill it out by hand or your office rebuilds it later.

Free onboarding with a dedicated US-based team member
Setup and data migration are included, and you work with a real person on our team, not a help center. Every other platform here either charges for implementation or leaves you to figure it out yourself. ServiceCore, for example, charges thousands of dollars for onboarding, on top of prepaid service.

Custom checklist builder
Build your own inspection forms and operational checklists, and techs fill them out in the field, attached to the job. Housecall Pro has a version of this. The rest don’t –  you’re stuck with paper forms or generic notes fields.

Pump reports
Auto-generated reports showing what was serviced, gallons pumped, and system condition – ready to hand to a waste facility or a customer. ServiceCore also does this. ServiceTitan, Jobber, Housecall Pro, and FieldPulse don’t, because they’ve never had to think about what happens after the pump.

Comprehensive waste disposal tracking
Track every gallon from the tank to the disposal site, so when a regulator asks where a load went, the answer is already in the system. ServiceCore may cover parts of this; the generalist platforms weren’t built for waste logistics and don’t touch it.

Scheduling & dispatching, customer management, contacts & properties
All the basics are here: assign jobs, manage the calendar, keep full service history on every account, and link unlimited contacts to unlimited properties (which matters a lot if you serve property managers or multi-site accounts). Every dedicated platform covers these. The difference is what’s built around them.

Capacity-based dispatch
Our scheduling knows how many gallons each truck holds, so it can plan routes around capacity and let you add waste stops mid-route. ServiceCore does this too. Everyone else dispatches on job counts and time slots, as if a full truck and an empty one are the same thing.

Service due notices
Set the service interval once and Tank Track does the rest: it creates the actual job on your schedule  – months or years in the future  – and sends the customer several reminders as the date approaches. Other platforms send a reminder email at best; nobody else is putting the job on your board. This is how pump-outs come back year after year without anyone in your office having to remember to call.

Land application
Log application sites, volumes, and the limits tied to each disposal event. Tank Track is the only platform in this comparison that handles land application at all.

Integrated payments (cards and ACH)
Bill and collect inside the platform, in the field or from the office. Everyone offers integrated payments, so don’t evaluate the checkbox –  evaluate the rates, the payout terms, and whether the platform supports how you actually want to charge (ACH incentives, surcharging, etc.).

Mobile app
Techs get their schedule, job details, forms, and payment collection on their phone, with offline mode for low-signal areas. All the dedicated platforms have an app. The question is whether the app knows what a load is.

QuickBooks Online integration
Invoices, payments, and customers sync automatically. Standard across every platform here – if a system you’re evaluating doesn’t have it, walk away.

Frequently Asked Questions

Yes. Tank Track is purpose-built for septic and grease trap companies  – it’s not a generic field-service tool with a septic label on it. That’s why waste manifests, pump reports, land application, and capacity-based dispatch are native features instead of workarounds.

Those are good general field-service tools. But they don’t generate waste manifests, track disposal from pickup to final site, or dispatch based on truck capacity in gallons. If you run a pumping business on one of them, you end up covering the gaps with spreadsheets and paper.

No. Tank Track is month-to-month. No annual contract, no prepaying for months of service, no onboarding fee. If we’re not earning your business every month, you can leave. Compare that to competitors that require an annual contract, months of prepayment, and a separate setup fee before you’ve run a single job.

This is the thing we are most proud of. Onboarding is free, a dedicated US-based team member runs your setup and data migration, and most customers keep their old system or paper running in parallel for a few weeks while techs get comfortable. There’s no 6-8 week implementation project standing between you and going live.

Yes. Manifests, disposal tracking, and land application logging give you an end-to-end record of where every gallon came from and where it went. When a regulator or customer asks for documentation, it’s already captured.

Yes – and it understands gallons. Beyond standard scheduling, dispatch accounts for truck capacity and lets you add waste stops, so routes reflect how much a truck can actually haul before it needs to offload.

Card and ACH processing are built in, so techs collect on site and the office isn’t chasing invoices. Everything syncs to QuickBooks –  no double entry.

Yes –  this is one of the features customers tell us pays for the software. Set the service interval once, and Tank Track creates the future job on your schedule and reminds the customer several times before service is due. Accounts stay on cycle for years without anyone having to remember to call.

Yes. The mobile app covers schedules, job details, forms, photos, and payment collection, with offline mode for low-signal areas. Work gets documented on the job site, not re-entered at the office.

Yes. Link and unlink unlimited contacts and properties, and rearrange those relationships however you need.

Our pricing is published on our website-  no “call for a quote,” no hidden implementation fees, no add-on charges for the septic-specific features other platforms treat as extras. You can see exactly what a 1-truck, 5-truck, 10-truck, or 20-truck operation pays before you ever talk to us.

Book a demo. We’ll walk through your own workflows – manifests, dispatch, disposal tracking –  inside Tank Track. Onboarding is free and there’s no contract, so there’s nothing standing between you and trying it.

No. Most of our customers came from paper records or 30-year-old desktop software. Every new account gets a live walkthrough with a real person – not a help article – and free ongoing training as you grow into more features. We usually start you on scheduling and invoicing, then layer in QuickBooks and payments once you’re comfortable, instead of dumping the whole system on you on day one.

This is the #1 concern we hear, and it’s why the app is deliberately simple: techs log jobs, photos, and notes from their phone, offline mode included, with nothing to learn beyond what they already do on a job site. Plenty of customers run paper in parallel for a few weeks during the switch. The guys who push back hardest usually come around when they realize it cuts their paperwork instead of adding to it.
